2. Scope of This Privacy Notice

This Privacy Notice applies to personal data processed by Kiami in connection with:

  • visits to our website;

  • requests for information, demos, or support;

  • use of the Kiami platform and related services;

  • communications with customers, users, suppliers, and business contacts;

  • billing, account management, security, and compliance activities.

 

3. Our Role

In some cases, Kiami acts as a data controller, and in other cases, Kiami acts as a data processor on behalf of its customers.

  • Controller: Kiami acts as controller for personal data relating to website visitors, leads, prospects, customer contacts, billing, support, security, and business communications.

  • Processor: When our customers use the Kiami platform to manage their internal operations, maintenance activities, troubleshooting records, work orders, and related information, Kiami may process personal data on behalf of the customer and according to the customer’s instructions.

If you use the Service through your employer or another organization, that organization may be the primary controller of some of your personal data.

 

4. Personal Data We Collect

Depending on the circumstances, we may collect the following categories of personal data:

A. Information you provide directly

  • name;

  • business email address;

  • telephone number;

  • company name;

  • username and login details;

  • information you provide in contact forms, support requests, surveys, or correspondence;

  • billing and payment-related information;

  • any information you choose to upload or submit through the Service.

 

B. Information collected automatically

  • internal communications or customer-provided content.

Users and customers are responsible for ensuring that the data they upload is relevant, lawful, and limited to what is necessary for the intended business use of the Service.

  • performance of a contract, where processing is necessary to provide the Service or fulfill our contractual obligations;

  • legitimate interests, such as operating, securing, improving, and administering our website and services, provided those interests are not overridden by applicable rights and freedoms;

  • legal obligation, where processing is required to comply with applicable law.

 

8. AI Features and Model Training

Kiami may use statistical and aggregated data to improve its services, analytics, and AI-related capabilities.

Where customer data is used for AI model training, this will be done only if the relevant customer has approved such use.

If a customer does not approve the use of its data for AI model training, customer data will be used only for that customer’s specific service environment, support, maintenance, security, and agreed service functionality.

Kiami does not intentionally use identifiable customer data for cross-customer AI training without customer approval.

 

9. Sharing Personal Data

We do not sell personal data.

We may share personal data where necessary with:

  • hosting and infrastructure providers;

  • cloud service providers, including DigitalOcean;

  • payment service providers;

  • email and communication providers;

  • analytics and support tool providers;

  • security and fraud-prevention service providers;

  • professional advisers such as lawyers, accountants, auditors, and insurers;

  • affiliated companies, where necessary for legitimate business operations;

  • courts, regulators, law enforcement authorities, or other public authorities where required by law;

  • a buyer, investor, successor, or other relevant third party in connection with a merger, acquisition, restructuring, financing, sale of assets, insolvency, or similar corporate transaction.

We may also share information within a customer’s organization in accordance with that customer’s instructions and system settings.

 

10. International Data Transfers

Kiami is based in Israel and uses service providers and infrastructure that may process data in Israel and other jurisdictions.

Our systems are hosted using DigitalOcean infrastructure. As a result, personal data may be stored or processed outside your country of residence, subject to applicable legal safeguards.

Where required by applicable law, including under the GDPR, we will implement appropriate safeguards for international transfers of personal data.

 

11. Data Retention

We retain personal data for as long as necessary for the purposes described in this Privacy Notice, including for:

  • providing the Service;

  • managing customer accounts and relationships;

  • complying with contractual, legal, tax, accounting, and regulatory obligations;

  • resolving disputes;

  • enforcing agreements;

  • maintaining security, audit, and backup records.

Retention periods may vary depending on the type of data and the purpose of processing.

When personal data is no longer needed, we will delete it, anonymize it, or securely de-identify it, unless we are required or permitted by law to retain it.
